Steps for Fleet Managers (Dashboard)

1. Dashboard Registration

After successful registration and verification by LOCIO, you will receive two emails: one to set your password, and one confirming that your access has been successfully set up. This typically happens within two business days.


2. Inviting Company Car Drivers

Please invite all company car drivers via the "Invite Driver" function in the Dashboard.

Process:

  • The invitation link is automatically sent by email.

  • Once confirmed, the driver appears in the Dashboard and can be managed there.

  • Via "View Invitations" you can check the status at any time.

  • Invitations can be resent if needed.

  • Unaccepted invitations automatically expire after 4 weeks.

Important:

  • Make sure to select the correct company when sending invitations.

  • Ensure that all active users have accepted their invitation, as this is the only way to guarantee the full scope of services — depending on the license model.

  • Drivers must not accept the Dashboard invitation until after they have created their account. Otherwise, the invitation will not be correctly assigned.

Note on billing (nationwide flat rate)

If billing is based on the nationwide flat rate, the following also applies:

  • The driver must join the Dashboard before creating their first expense reimbursement receipt.

  • If the driver joins at a later date, this results in a mid-year change of billing method. In this case, fleet management must independently arrange a solution for the affected users, as no automatic system-side adjustment will take place.


3. Defining Billing Policies

These settings can optionally be configured under "Policy Management" in the Dashboard:

  • Billing deadline: Set the date by which drivers must submit their receipts each month.

  • Preferences: Choose which information (e.g. names, vehicle details) should appear on receipts.

  • Mileage queries: Define a regular interval at which mileage queries should be carried out.

  • Export customizations: Adjust the data fields included in the export.


4. Reviewing Invitations

  • Check in the Dashboard whether all drivers have confirmed their invitation. Use the "View Invitations" button for this.

  • If necessary, remind drivers to confirm their invitation, as their charging activity will otherwise not be visible in the Dashboard.


Prerequisites for Company Car Driver Reimbursement

1. Storing a Valid Electricity Tariff

  • Company car drivers must store a valid electricity tariff in the app in order to create receipts for charging costs.

  • This step is mandatory and is also displayed in the Dashboard.

2. Receipt Submission

  • Company car drivers must submit their charging costs via the app using the "Create Receipt" function.

  • After further verification by the LOCIO system, receipts are automatically sent to the recipient email address stored by the driver.
